Accounting & Administrative Assistant (p/t)

Job Description:

FIAF, the International Federation of Film Archives, seeks a versatile, reliable, and dynamic collaborator for a part time (50%) Accounting & Administrative Assistant position. The successful applicant will provide general accounting and administrative support to the FIAF Secretariat, and assist the Senior Administrator in the day-to-day administration of the Federation’s finances and human resources. The ideal candidate will be capable of learning FIAF processes with minimal supervision. He or she should be extremely organized and have great time management skills.

 

Main duties and responsibilities:

  • Handling purchase orders and subscriptions to FIAF products and services, including contacts with agents and clients, and establishing invoices
  • Encoding financial transactions in the office’s accounting software and providing financial reports and spreadsheets
  • Processing payments, chasing late payments, and day-to-day maintenance of the Federation’s current and savings accounts
  • Preparing and submitting tax forms and preparing the Federation’s annual financial statements in conjunction with the Senior Administrator and FIAF’s Chartered Accountant
  • Maintaining employee records and annual leave, assisting the external payroll office with the administration of salaries and other benefits, and other day-to-day HR duties
  • Performing data entry in FIAF’s contact and invoicing management system
  • Performing other duties as required, including posting invoices, shipping sold products, handling phone calls, and other general office tasks

Knowledge and skills requirements:

  • Demonstrable knowledge of basic accounting functions
  • Excellent command of both English and French (written and spoken)
  • Attention to detail and ability to work under pressure to meet deadlines
  • Excellent communication skills in interacting with all levels of an organization
  • Ability to work independently within a team environment
  • Flexibility and willingness to take on new challenges
  • Computer literate with proficiency in MS Office (Word and Excel in particular)
  • Some relevant experience is desirable
